Most businesses I talk to don't have an "automation problem". They have a copy-paste problem. Someone downloads leads from Meta, pastes them into a sheet, forwards them on WhatsApp, forgets two, and chases an invoice three weeks late. That is exactly the kind of mess n8n fixes, and I build it so it keeps working after I leave.

What I usually build

WhatsApp lead capture and first reply

Leads from Meta ads, your website, marketplace enquiry emails or click-to-WhatsApp ads land in one place. They get de-duplicated, tagged by source and pushed to the right person within seconds, with an approved template reply going out at the same time. I use the official WhatsApp Business API through n8n, never an unofficial bot on a personal number.

CRM and Google Sheets sync

Two-way sync between forms, Sheets and CRMs like HubSpot, Zoho or Pipedrive. Owner assignment, stage changes, follow-up reminders, and a daily summary to the founder's WhatsApp at 9 am.

Reports that build themselves

The weekly or daily report pulled from every source on a schedule, summarised in plain English by an AI model, and delivered where you actually read it. If a source fails, you get a warning instead of a wrong report.

Invoices, payments and reminders

Invoice generated from a deal or order, emailed as a PDF, logged in a sheet, with polite reminders before and after the due date. Payment webhooks mark it paid so nobody chases money that already arrived.

AI agents and calling agents

Agents that read an enquiry, qualify it against your criteria and draft a reply in English or Hinglish for a human to approve. For high-intent leads, a voice agent can call, ask the qualifying questions and write a structured summary back into your CRM.

Prompt systems for your team

If your team already uses ChatGPT or Claude, I write and test the prompt library, brand-voice rules and custom GPTs so everyone gets consistent output, not fifteen different versions.

How it runs

  1. A free 30-minute call. We map the process as it works today, including the ugly manual bits, and pick the one or two workflows with the clearest payoff.
  2. Written scope and fixed price within 48 hours. Triggers, apps, data fields, edge cases, what's out of scope, running costs, and a go-live date. No hourly meter.
  3. Accounts in your name. n8n, Meta Business Manager, the WhatsApp number, the CRM and AI API keys all sit under your ownership. I get access; you keep control.
  4. Build and test. Test data first, then real data in shadow mode where the automation drafts but a person still sends.
  5. Go live, usually in about ten working days. Error alerts to your WhatsApp or email if anything fails. Every run logged.
  6. Handover. A recorded walkthrough and written notes, so your team isn't dependent on me.

n8n Cloud or self-hosted: which should you pick?

This is the first question every Indian business asks us, and the honest answer depends on volume, data sensitivity and whether anyone on your team is comfortable maintaining a server. Plan details below are from n8n's pricing page as of September 2026; always check the official n8n pricing page before deciding.

Our default recommendation: start on n8n Cloud if you have no technical owner, and move to self-hosted once volume or data rules justify it. Workflows export as JSON, so migrating later is straightforward. The n8n docs on choosing how to use n8n lay out the trade-offs clearly.

WhatsApp costs you should budget for

n8n itself does not charge per WhatsApp message, but Meta does. WhatsApp Business Platform pricing is per delivered message, with rates set by template category (marketing, utility, authentication) and the recipient's country code. Marketing templates cost the most. Meta has also announced that from 1 October 2026, service messages and utility messages sent inside an open 24-hour customer service window will be charged per message, which removes a cost saving many businesses relied on. Click-to-WhatsApp ad conversations keep their 72-hour free entry point for message delivery.

What this means in practice: we design flows to use the cheapest correct category, avoid chatty back-and-forth where one clear message will do, and log message counts so you can see the bill coming. Who this is for, and who should skip it

It's for businesses where a person is doing the same steps every day: sales teams, D2C brands, coaches, clinics, agencies, service firms. It's not for a task that happens twice a month, or one where every case is different. If that's you, I'll say so on the call and save you the money.

Working with me from Delhi NCR, or anywhere in India

Most of the businesses I build automations for are in Delhi NCR — Delhi, Noida, Gurugram, Ghaziabad and Faridabad — and the rest are spread across India. The work is remote either way: one call to scope the task, access to the tools it touches, then a recorded walkthrough and written notes at handover. If you would rather meet once in person before starting, that is easy enough inside NCR. Everything runs on accounts in your name, so nothing depends on where either of us sits.

Questions people ask

What does an n8n automation cost?

You get a fixed price in writing after the call, based on the number of tools and steps. Running costs (n8n plan, WhatsApp messages, AI usage) are separate, in your name, and I estimate them upfront so there are no surprises.

Do I need my own n8n account?

Yes, and that is the point. The workflows live on your n8n Cloud or your own server, so you own them. I set it up with you if you don't have one.

Can it work in Hindi or Hinglish?

Yes. WhatsApp templates and AI-drafted replies can be in English, Hindi or Hinglish. I test the tone with you before it goes live.

What if the automation breaks?

Every build has an error workflow that alerts you. Anything inside the agreed scope, I fix. After go-live, ongoing support is optional and month to month.

Can you also build the CRM or the dashboard?

Do you do prompt engineering for teams as well?
